Job Summary:
Provides office management support to Marketing & Communications and Admissions & Recruitment departments. Duties include assisting with planning, executing, and tracking of marketing initiatives including print, digital, email, social media, and content marketing.
Essential Functions:
ESSENTIAL FUNCTIONS:
Marketing & Communications
1. Manage invoice payment process including creating purchase orders, invoice checking, and submission for payment. Resolves non-payment and billing error issues.
Coordinate marketing request ticketing system, ensuring needed information is included and assigns tickets to appropriate team member.
Assist scheduling marketing-related videos, interviews, photo shoots, and other content.
Coordinate with department and other offices on marketing requests, status of tasks and ensuring compliance with established deadlines.
Assist in ordering promotional materials, tracking orders and invoices, and organizing and monitoring supplies.
6. Provide general office support including scheduling meetings and managing office supplies and equipment.
Perform basic updates to website using content management system.
Admissions - Communications and Office Support
1. Screen, prioritize, and respond to telephone calls, emails, and visitor inquiries.
2. Manage electronic and paper filing systems.
3. Distribute information to internal departments and external partners as directed.
4. Schedule appointments, meetings, and calls with high school partners, ISDs, and RESAs.
5. Coordinate and prepare materials for meetings and admissions committee sessions.
6. Send meeting reminders and follow-up communications to participants.
7. Provide general office support during high traffic periods.
Admissions - Early College Records and Documentation
1. Assist with data entry and maintenance of dual credit student information in TargetX software.
2. Process application materials and verify student eligibility for early college programs.
3. Maintain confidential student records in compliance with FERPA regulations.
4. Maintain database of approved high school instructors and their certification status.
5. Assist with coordination of campus visits and recruitment events for prospective students.
6. Prepare informational packets, brochures, and presentation materials.
7. Assist with application troubleshooting and missing documentation follow-up.
8. Direct students to appropriate services including advising, financial aid, and registration.
Other Duties:

Job Specifications:
Associate degree required.
Two to four years of experience in office management required.
Word processing, spreadsheet, and professional telephone skills required.
Strong editing and proofreading skills a must.
Exceptional organizational skills, discretion with confidential information, and ability to work collaboratively with diverse educational stakeholders.
May help supervise student workers.
Confidentiality and professionalism are required.
Positions at Lake Michigan College require regular and predicable on-site attendance as an essential job functions. Grade: Salary Range: $16.40 - $19.42
